The Senior Executive - Human Resources/Administration role covers a broad range of Human Resources (HR) and general administration functions within a small organisation at an early stage of operations. Working closely with internal and external stakeholders, the position supports HR processes, employee services, office operations, and the overall workplace environment. The scope may evolve as the business grows and may include support for basic accounting and finance-related tasks.
Responsibilities
Human Resources
Coordinate recruitment activities, including communication with recruitment agencies, candidate coordination, interview scheduling, and onboarding
Coordinate the performance evaluation process, including scheduling, interview arrangements, and documentation
Manage daily HR operations, including attendance, payroll-related data, leave, insurance, and employee benefits
Support employee relations matters and HR-related issues in accordance with applicable labour laws and regulations
Maintain employee records and HR-related data
Support the implementation and review of HR policies, employment rules, and internal regulations
Coordinate employee training and development programmes
Respond to employee enquiries and provide support on HR and labour-related matters
Support employee engagement and workplace improvement initiatives
Support expatriate employees with contracts, immigration procedures, and other administrative matters
Coordinate with HR vendors, consultants, and other external professionals
General Administration
Manage daily office administration, including office supplies, facilities, equipment, and fixed assets
Coordinate procurement activities and vendor management
Provide first-line support for Information Technology (IT) and system-related issues and coordinate with relevant vendors or service providers when required
Maintain and coordinate subscriptions, software services, and other administrative systems
Support compliance activities, internal procedures, and the maintenance of relevant records and documentation
Maintain contracts, corporate documents, and other important records
Support health and safety, business continuity planning, emergency preparedness, and office security matters
Coordinate internal training sessions, company events, and other employee-related activities
Arrange and coordinate domestic and international business travel for employees
Handle office-related and employee support matters as they arise
Liaise with internal and external stakeholders on administrative matters
Support initiatives to improve operational efficiency and the workplace environment
Perform other HR and general administration duties required for the smooth operation of the company
Provide support for other administrative functions, including basic accounting and finance-related tasks, as needed
Requirements
Practical knowledge of HR operations, employee services, and general office administration
Understanding of applicable labour laws, employment rules, and HR policies
Ability to coordinate effectively with employees, recruitment agencies, vendors, consultants, and other internal and external stakeholders
Strong organisational skills and the ability to manage a broad and evolving range of responsibilities within a small organisation
