Job Responsibility
The role is to provide comprehensive support to the organization and its employees, contributing to operational efficiency and effectiveness.

1.Supporting the Registration Process: Assisting with the establishment of new legal entities by coordinating with legal counsel, government agencies, and relevant authorities. This may involve preparing and filing necessary documentation, ensuring compliance with regulatory requirements, and facilitating the registration process from start to finish.
2.Business Support for the Japanese MD: Providing administrative support to the Japanese MD, which may include scheduling meetings and appointments, managing correspondence, travel coordination and so on.
3. Office Management: Overseeing day-to-day operations of the office, ensuring smooth functioning of administrative processes and procedures.
4. Correspondence and Communication: Handling incoming and outgoing communications, including emails, phone calls, and postal mail. Drafting and distributing internal memos and announcements.
5. Document Management: Organizing and maintaining physical and digital files, records, and databases. Ensuring confidentiality and security of sensitive information.
6. Calendar Management: Scheduling appointments, meetings, and conferences. Coordinating logistics and preparing necessary materials.
5. Travel Coordination: Making travel arrangements for employees, including booking flights, accommodations, and transportation.
6. Supply Management: Ordering and maintaining office supplies, equipment, and inventory. Managing vendor relationships and negotiating contracts.
7. Event Planning: Assisting with the planning and execution of company events, such as conferences, seminars, and team-building activities.
8. Human Resources Support: Assisting with recruitment processes, onboarding new employees, and maintaining personnel records. Coordinating employee benefits and assisting with payroll administration.
9.Financial Administration: Assisting with budget management, expense tracking, and invoice processing. Collaborating with accounting and finance departments as needed.
10. Facilities Management: Overseeing facilities maintenance and repairs. Coordinating office renovations or relocations as necessary.
11. Compliance and Legal Support: Ensuring compliance with relevant regulations and company policies. Assisting with the preparation of legal documents and contracts.
12. Special Projects: Undertaking ad-hoc projects and assignments as assigned by senior management. This could include research, analysis, and reporting tasks.
